Client Hub & Contractor Portal privacy notice

Your service provider is the data controller for Client Hub accounts, under the UK GDPR and the Data Protection Act 2018.

What we collect

Only your name, company email address and job function, along with the role and sites your Customer Admin gives you. We also keep basic sign-in activity to keep your account secure.

Why we use it

Only to create and manage your Dynetiq FSM account. That covers signing you in, showing the right sites and keeping you updated on work you've requested. Our lawful basis is legitimate interest in delivering the service your employer has contracted. We use no personal email addresses or phone numbers, and we do no marketing.

Sharing

Your details are never shared with any third party. Our hosting providers handle data only on our instructions.

How long we keep it

Invitations that are never accepted are deleted 30 days after they expire. If your access is removed, your name and email are anonymised after 12 months, or straight away if you ask. Service records stay, but without your personal details.

Contractor Portal users

For contractor company admins and technicians we also keep your phone number, used for job alerts, and your safety certificates, used to check you're qualified for each site. These are used only to manage your account, dispatch jobs and keep sites safe, and are never shared with third parties. The same retention and rights apply. Deleting your details also removes your certificates.

Your rights

You can view and correct your details, download a copy, object to their use, or ask for them to be deleted. Use "My details" in the Client Hub or Contractor Portal, ask your company admin, or contact your service provider. You can also complain to the Information Commissioner's Office (ico.org.uk).
